Profile
Your profile information appears across your organization and team collaborations. Manage it from Settings > Profile.

Security
Password Requirements
Your Prooflio password must meet the following requirements:
- Minimum 12 characters
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one special character (e.g.,
!@#$%^&*)
To change your password, go to Settings > Security > Change Password.
Two-Factor Authentication (2FA)
Two-factor authentication adds an extra layer of security to your account.
Setting Up 2FA
- Go to Settings > Security > Two-Factor Authentication.
- Click Enable 2FA.
- Open your authenticator app (Google Authenticator, Authy, 1Password, etc.).
- Scan the QR code displayed on screen.
- Enter the 6-digit verification code from your authenticator app.
- Click Verify and Enable.
Backup Codes
After enabling 2FA, Prooflio generates 10 one-time backup codes. These codes can be used to access your account if you lose access to your authenticator app.
- Each backup code can only be used once.
- Store your backup codes in a secure location (password manager, printed copy in a safe place).
- You can regenerate backup codes at any time from the 2FA settings page (this invalidates all previous codes).
If you lose both your authenticator device and your backup codes, you will need to contact Prooflio support to regain access to your account. This process requires identity verification and may take several business days.
Active Sessions
View and manage all devices and browsers where you’re currently logged in.
Go to Settings > Security > Active Sessions to see:
- Device type and browser
- IP address and approximate location
- Last active timestamp
You can revoke any session to immediately log out that device. Use the Revoke All Other Sessions button to log out everywhere except your current session.
API Keys
API keys allow external applications and scripts to access your Prooflio organization’s review data programmatically.
API access requires a Growth plan or higher. See Billing & Plans for details.
Creating an API Key
- Go to Settings > API Keys.
- Click Create New Key.
- Configure the key:
- Name — A descriptive label (e.g., “Website Integration”, “Analytics Script”).
- Expiration — Choose an expiration date or leave blank for no expiration.
- Click Create.
- Copy the key immediately — it will not be shown again. Prooflio stores only a SHA-256 hash of the key.
Revoking an API Key
To revoke a key:
- Go to Settings > API Keys.
- Find the key in the list.
- Click Revoke.
- Confirm the revocation.
Revoked keys stop working immediately. Any applications using the revoked key will receive 401 Unauthorized responses.
Treat your API keys like passwords. Never commit them to version control, share them in public channels, or include them in client-side code. If you suspect a key has been compromised, revoke it immediately and create a new one.
Notifications
Configure how and where you receive notifications from Prooflio. Notification preferences can be set per event type and channel.

To manage your notification preferences:
- Go to Settings > Notifications.
- Toggle notifications on or off for each event type and channel.
- Click Save.
Security alerts and billing notifications are always sent via email and cannot be disabled.
Data Export
You can export your Prooflio data at any time for backup, migration, or compliance purposes.

How to Export
- Go to Settings > Data & Privacy.
- Select the export type you need.
- Click Request Export.
- You’ll receive an email with a download link once the export is ready (typically within a few minutes).
Account Deletion
If you wish to permanently delete your Prooflio account:
- Go to Settings > Data & Privacy.
- Scroll to the Delete Account section.
- Click Delete My Account.
- Type your account email to confirm.
- Enter your password (or 2FA code if enabled).
- Click Permanently Delete.
Account deletion is permanent and irreversible. All of your organizations, reviews, insights, team memberships, and account information will be permanently erased. This action cannot be undone. We strongly recommend exporting your data before deleting your account.
